Keep Administrative Proceedures Easy and Simple

In any organization, no matter how small, there is a need for administrative procedures. Time-keeping, filing systems,
expense approvals, invoice payment, employee benefits use, are all necessary to keep the organization alive and well.
But, it's important to note that all of systems require the time and energy of
employees.
Much of this time and energy is unavoidable. Yet, often systems are not as efficient as they could be, and when they're inefficient, you can expect a decrease in employee morale.
Ineffective systems may involve an excessive number of approvals, too much paperwork or too much complexity, for instance. They may push too much work onto front-line employees when other departments or
employees who are in charge of the particular system possess the greatest expertise - and could much more efficiently handle or complete part of the administrative procedure.
There is no right or wrong answer
to the question "how are administrative processes best structured?"
But it is important to keep in mind that they should be
(1) as efficient as possible,
(2) not require every employee to learn every rule governing the process, and
(3) set up so as to avoid or minimize employee frustration.
The benefits of having efficient administrative
processes are time-savings for both the organization and its employees -- as well as having a corresponding increase in employee morale.
It's worth noting that these points apply not only to
employees, but also to customers and the public - whenever your organization works with them. Nobody likes complicated procedures. If you can simplify them and make them easier for users, you'll make a
lot of people happier.
